How to Systemize Client Onboarding at a Creative Agency
Build a creative-agency kickoff handover covering the brief, assets, stakeholders, approval rules and definition of ready.
Creative-agency onboarding works when the team knows what it is making, has the required assets and understands who can approve the work. This guide focuses on that kickoff handover. The separate onboarding automation guide covers connecting forms, records and tasks once the process is defined.
Define ready for production
List what a project needs before work begins: the approved brief, scope, key dates, brand assets, access and a named client approver. Distinguish a missing convenience from a dependency that actually prevents production.
Use an asset and access checklist
- Current brand guidelines and approved source files.
- Existing work the team needs to reference.
- Required account access, granted through an approved method.
- Stakeholder names and responsibilities.
- Agreed scope, milestones and review process.
Adapt the list to the deliverable rather than asking every client for every possible file.
Agree how feedback becomes a decision
Identify the person responsible for consolidating client feedback. Record how comments are collected, who can approve a change and what happens when feedback conflicts with the agreed scope. This prevents the production team from having to interpret several competing approvals.
Turn the kickoff into a handover record
After the kickoff, record decisions, open questions, task owners and the next agreed date. Put the record where the delivery team already works. A meeting is not a completed handover if the only person with the answers is the account lead.
Check the first project against the checklist
Use a recent or current project to identify missing inputs and unclear responsibilities. Update the checklist from those findings. The SOP template can document the repeatable steps, and client communications support can help maintain the agreed process.
