Hiring an Operations Manager vs Outsourcing: A Cost Worksheet

Calculate a like-for-like monthly cost comparison using your actual salary assumptions, provider scope, management time and coverage needs.

A useful hiring-versus-outsourcing cost comparison uses equivalent responsibilities, workload and coverage. Start with your actual employment assumptions and a provider quote for the work you need. The lowest advertised monthly fee is not a like-for-like comparison with a senior internal role.

Compare in-house and outsourced costs against the same responsibilities, workload and working hours.

Define the role before calculating

Write down the processes to own, the decisions to make, the workload and the working hours. If the in-house role includes strategic leadership but the outsourced scope covers task coordination, the prices answer different questions. Use the operating-model comparison to settle that first.

Calculate the in-house side

Monthly in-house cost can include salary, applicable employer costs and benefits, software, equipment, recruitment allocated over an explicit period, onboarding and manager time. Include backup arrangements where they create an additional cost. Use assumptions appropriate to your location and employment terms rather than a universal salary figure.

Calculate the outsourced side

Start with the agreed monthly service fee. Add any costs outside that scope: agency tools you still pay for, internal management time, additional capacity or extended coverage. Ask whether onboarding, backup and handover are included before treating them as zero-cost items.

Record time separately from cash

A founder’s recorded time can help assess the decision, but it is not automatically a cash saving. State the hours and the value you assign to an hour, and keep that estimate separate from salary or subscription payments. Avoid counting the same management time on both sides.

Use a worksheet with visible assumptions

Download the operations cost-comparison CSV. Fill it with your actual figures and note the source of every material assumption. Compare a normal workload, then check how the result changes if volume or coverage increases.

How ScaleVirtual pricing fits the comparison

ScaleVirtual operations support starts at US$1,299 per month. The final price depends on team size, workload and agreed coverage. That entry price is not a quote for unlimited work, a full-time executive role or 24/7 coverage in every engagement. Discuss your scope before using a fee in the comparison.
